Step 1: Collect and check your files
- PDFs from your computer or email, for example forms and letters
- Photos from your phone (JPG or PNG), for example an ID card, a receipt or a handwritten note
- Word files: save them as PDF first, so the layout stays intact
Open each file once and make sure it is complete and readable. Fax is black and white, so very light photos and colored highlights can get lost.
Step 2: Put them in a sensible order
The recipient reads the fax from top to bottom. A good order is:

- The main document, such as the signed form or letter
- Supporting documents: ID copy, receipts, attachments

Keep proof of what you sent
After delivery you get a delivery report by email. It shows when the fax reached which number and includes an image of the first page. Keep it together with your files. If the first page is a cover sheet that lists every attachment, the report also documents what the bundle contained.
